Cleared-to-Work Status — Know Instantly Who Can Work
Every employee has a real-time Cleared-to-Work indicator based on their required compliance documents. Green means all required documents are valid and approved. Red shows exactly which documents are causing the issue — expired, missing, or awaiting approval — with a breakdown list so you can take immediate action. Displayed prominently on the employee detail page and across the Compliance Matrix.

Secure Document Storage — Certificates Always at Hand
Upload PDF, JPG, or PNG certificates directly to Certivenza. Files are stored in private cloud storage (Supabase, EU/US regions), encrypted at rest and in transit. Access is via signed URLs that expire after 1 hour — documents are never publicly accessible. Retrieve any certificate instantly from the dashboard or employee portal.

Employee Self-Service Portal — Let Employees Help Themselves
Employees log in with their own credentials to a dedicated portal separate from the admin dashboard. They see only their own compliance status, required documents, and can upload renewal certificates directly — even using a phone camera. Uploaded documents go into the Pending Review queue for admin approval, and employees receive an email notification when their document is approved or rejected (with the rejection reason included).

Pending Review Dashboard — Document Approval in One Place
Every employee-uploaded document lands in a central Pending Review queue. Admins and authorised members can approve or reject documents inline — no navigating to individual employee profiles. Rejection requires a written reason that is emailed to the employee immediately. Bulk approve is available to clear large queues quickly. Only admins and members can review documents; employees cannot.

Document Version History — Full Audit Trail
Every document renewal creates a new version. Previous versions are archived — never deleted — so you always have a complete history. See who approved each version, the upload date, and any rejection reasons for each iteration. The latest approved version is the active compliance record.
