1. Acceptance of terms
By creating a Certivenza account or using the service, you agree to these terms. If you do not agree, please do not use the service. If you are signing up on behalf of a company, you confirm that you have the authority to bind that company to these terms.
2. What Certivenza provides
Certivenza provides a software platform for tracking employee compliance documents, receiving expiry alerts, and managing workforce certifications. We do not provide legal advice, HR advice, or compliance consultancy.
Important: Using Certivenza does not guarantee that your business is legally compliant. You remain responsible for ensuring you meet all applicable laws and regulations. Certivenza is a tool to help you manage your records — not a substitute for professional legal or HR advice.
3. Your account
You must provide accurate information when creating your account. You are responsible for keeping your login credentials secure. You must not share your credentials or allow unauthorised access to your account.
You may invite team members to your organisation. You are responsible for all activity that occurs under your account and for ensuring that any team members you invite comply with these terms.
You must be at least 18 years old to use Certivenza.
4. Your data
You own all data you enter into Certivenza — employee records, documents, and organisation information. You grant us a licence to store and process this data solely for the purpose of providing the service to you.
You are responsible for ensuring that any personal data you enter (e.g. employee names and contact details) is handled in accordance with applicable data protection laws, including GDPR where relevant. You are the data controller; we are a data processor acting on your instructions.
You must not upload any content that is illegal, infringing, or that you do not have the right to upload.
5. Subscription and payment
Free trial: All new accounts receive a 14-day free trial with full access. No credit card is required to start the trial.
After the trial: If you wish to continue using Certivenza, you must subscribe to a paid plan. Trial accounts that do not upgrade will have their dashboard access restricted.
Billing: Subscriptions are billed monthly. Payments are processed securely by LemonSqueezy. Prices are listed on our pricing page and may change with 30 days notice.
Cancellation: You may cancel your subscription at any time. You retain access to the service until the end of the billing period you have paid for. We do not provide refunds for partial billing periods.
Taxes: LemonSqueezy handles tax calculation and collection (VAT/GST) where applicable.
6. Acceptable use
You must not use Certivenza to:
- Upload false, forged, or misleading compliance documents
- Store or process data you do not have the right to access
- Attempt to hack, probe, or disrupt the service
- Scrape or extract data from the platform using automated tools
- Resell access to the service without our permission
- Violate any applicable laws or regulations
We reserve the right to suspend or terminate any account that violates these rules.
7. Uptime and service availability
We aim to keep Certivenza available 24/7, but we cannot guarantee 100% uptime. There will occasionally be planned maintenance windows (we will try to give advance notice) and unexpected outages.
We are not liable for any losses arising from service downtime, provided we have taken reasonable steps to maintain availability.
8. Limitation of liability
To the maximum extent permitted by law, Certivenza shall not be liable for:
- Any fines, penalties, or legal actions resulting from your failure to maintain compliance
- Loss of data due to user error
- Indirect, incidental, or consequential damages
- Losses exceeding the amount you paid us in the 12 months preceding the claim
Certivenza is a tool to assist with compliance management, not a guarantee of compliance. You are ultimately responsible for ensuring your business meets its legal obligations.
9. Intellectual property
The Certivenza name, logo, software, and content are our intellectual property. You may not copy, modify, or distribute any part of the service without our written permission.
You retain ownership of all data you upload to the service.
10. Termination
You may close your account at any time from the Settings page or by contacting us.
We may suspend or terminate your account if you violate these terms, fail to pay, or use the service in a way that harms others. Where possible, we will give notice before termination.
On termination, your data will be retained for 30 days before being permanently deleted.
11. Governing law
These terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
12. Changes to these terms
We may update these terms from time to time. We will notify you by email at least 14 days before any material changes take effect. Continued use of the service after the effective date of changes means you accept the updated terms.
