Licensed Premises Compliance

Licensed Premises Compliance — Personal Licence, SIA Door Supervisor & Challenge 25

SIA door supervisor licences expire every 3 years, Challenge 25 training must be refreshed annually, and Right to Work checks must be done before every new hire. Certivenza keeps every licence current.

Running a pub or licensed venue means navigating licensing law, door supervisor regulations, and age verification obligations simultaneously. An SIA licence lapse means a door supervisor cannot legally work. A failed Challenge 25 audit — or a single sale to a minor — can trigger a licence review that closes the venue. Certivenza tracks every licence and training certificate across your door team, bar staff, and management so the venue stays open and trading.

The compliance challenges pubs & licensed premises businesses face

Without a dedicated system, lapsed certifications and missed renewals put your business at risk.

SIA licence expiry discovered during a busy Friday night door check

SIA licences expire every 3 years. The renewal application must be submitted well in advance of expiry. Venues that rely on individual door supervisors to manage their own renewal routinely find out about lapses mid-shift.

Challenge 25 training treated as a one-off induction exercise

Age verification training is often done once at induction and never refreshed. Annual refreshers are required to maintain evidence of a due diligence defence against licensing enforcement for underage sales.

APLH qualification records are lost when the Personal Licence holder changes

When a DPS changes, the licensing authority needs evidence that the incoming DPS holds an APLH qualification. Venues that don't maintain digital records of staff qualifications scramble to locate certificates during licence variation applications.

Right to Work checks on bar staff are done verbally and never documented

Licensed venues with high staff turnover often carry out informal Right to Work checks. Without a documented record, the civil defence against the £45,000 illegal working penalty does not apply.

Frequently asked questions

How far in advance should we start the SIA door supervisor licence renewal?

The SIA recommends applying at least 8 weeks before the current licence expires. Configure a Certivenza alert at 90 days (about 13 weeks) so the door supervisor has time to complete the renewal application and receive the new licence before the old one expires.

Can we track Challenge 25 training for all bar staff, including those who only work occasional shifts?

Yes. All staff added to Certivenza — including zero-hours and occasional shift workers — can have the Challenge 25 training requirement assigned. Their Cleared-to-Work status shows NOT CLEARED if the annual training hasn't been completed.

We change DPS regularly — how do we keep track of Personal Licence holder transitions?

Add the Personal Licence and APLH qualification to the DPS holder's employee profile. When the DPS changes, update the profile assignment and log the LA notification date as a document note. Alert the licence holder and premises licence manager 6 months before any condition review date.

Can door supervisors upload their own SIA licence renewals through the portal?

Yes. Door supervisors receive a portal invite and upload their renewed SIA badge and licence document. You approve it from the pending review queue. The venue's compliance matrix shows all door staff as cleared once their SIA licences are valid.
